Privacy and Data in Kiges Bots

This document is a supplement to the general Kiges Privacy Policy and regulates data processing issues specific to the Kiges Bots service — a platform for creating, managing, and scaling bots, including visual flow design tools, user analytics, and integration with messaging platforms (currently Telegram; Discord, Slack, Instagram, Facebook Messenger, Viber, Microsoft Teams, and others may be added in the future).

1. General Provisions

1.1. This document supplements the general Kiges Privacy Policy and applies in conjunction with it. In case of discrepancies between the documents regarding the Kiges Bots service, this document prevails.

1.2. Use of the Kiges Bots service implies the User's consent to the terms of this document and the general Kiges Privacy Policy.

1.3. Terms used in this document are applied in the meanings defined in the general Kiges Privacy Policy.

2. Data Processed within the Kiges Bots Service

2.1. To ensure the functionality of the Kiges Bots service, the following categories of data are processed:

2.1.1. Account data: email address, password (hashed), User's name, notification settings.

2.1.2. Bot data: bot configurations, visual flows (dialog scenarios), command settings, message templates, messaging platform tokens (e.g., Telegram Bot API token).

2.1.3. Bot user data: messaging platform user identifiers (e.g., Telegram ID), username, language, interaction data (messages, commands, button clicks), date and time of interactions.

2.1.4. Analytics data: statistics on user interactions with bots, message counts, active users, scenario conversion rates, geolocation (at country level, if available).

2.1.5. Payment data: information about the pricing plan, payment history, bank card details (processed by the payment system; Kiges Bots does not store full bank card details).

2.2. Kiges Bots does not request or process special categories of personal data (information about health, racial or ethnic origin, political opinions, religious beliefs, etc.).

3. Purposes of Data Processing

3.1. Data is processed exclusively for the following purposes:

3.1.1. Ensuring service functionality — creating, configuring, and launching bots, visual flow design.

3.1.2. Interacting with bot users — processing messages, commands, and button clicks, sending responses through messaging platforms.

3.1.3. Analytics — collecting and processing interaction statistics to provide the User with analytical reports.

3.1.4. Technical support — maintaining the operability of the service, preventing abuse and technical failures.

3.1.5. Billing — processing payments and managing subscriptions.

4. Bots and User Interaction

4.1. When creating a bot, Kiges Bots stores the bot configuration, visual flows, and settings specified by the User.

4.2. Upon each interaction with a bot user (message, command, button click), Kiges Bots processes the interaction data to execute the bot scenario and provide a response.

4.3. Kiges Bots stores the history of user interactions with bots to provide analytics and ensure bot functionality. The User can configure the data retention period within the limits determined by the Pricing Plan.

4.4. The User is responsible for ensuring that their bots are not used for sending spam, phishing, malicious content, or other illegal activities through messaging platforms.

4.5. Kiges Bots is not responsible for the content of messages sent by the User's bots or for the actions of bot users.

4.6. The User must comply with the rules of the respective messaging platforms (e.g., Telegram Bot API Terms of Use) when creating and using bots.

5. Tokens and Access to Messaging Platforms

5.1. When connecting a bot to a messaging platform (e.g., Telegram), the User provides an access token (API token), which is stored in encrypted form.

5.2. Kiges Bots uses tokens exclusively to ensure the functioning of bots through the respective messaging platforms.

5.3. The User can revoke a token at any time through the messaging platform settings or through the Kiges Bots service interface.

5.4. Kiges Bots does not use tokens to access the token owner's personal data beyond what is necessary for the bot to function.

6. Data Storage and Protection

6.1. Data on user interactions with bots is stored for the period necessary to ensure bot functionality and provide analytics, after which it may be aggregated or deleted.

6.2. Kiges Bots takes technical and organizational measures to protect data, including encrypting data transmission via HTTPS, encrypting access tokens, restricting employee access to data, and regular backups.

6.3. In the event of a data security breach, Kiges Bots takes measures to eliminate the breach and notifies affected Users within a reasonable time.

7. Third-Party Data Sharing

7.1. Kiges Bots does not share Users' personal data with third parties, except as required by the legislation of the Republic of Serbia.

7.2. Kiges Bots transmits data necessary for bot functioning to the respective messaging platforms (e.g., Telegram) to the extent necessary for processing messages and providing responses.

7.3. Kiges Bots may use third-party services (payment systems, hosting, analytics) to ensure the operation of the service. Data sharing with such providers is carried out under confidentiality agreements.

7.4. Kiges Bots may share aggregated anonymized statistical information with third parties for analysis and service improvement purposes.

8. User Rights

8.1. The User has the right to:

8.1.1. Request information about personal data processed by the Kiges Bots service.

8.1.2. Demand clarification, blocking, or destruction of their personal data if it is incomplete, outdated, inaccurate, or unlawfully obtained.

8.1.3. Delete their bots and all associated data, including interaction history and analytics.

8.1.4. Withdraw consent to data processing by deleting their account.

8.2. Upon account deletion, Kiges Bots deletes the User's data within a reasonable time, except for data that must be retained in accordance with the legislation of the Republic of Serbia.

9. Data Deletion

9.1. The User can delete their bots and associated data at any time through the service interface.

9.2. When a bot is deleted, all associated data, including configuration, flows, interaction history, and analytics, is deleted without the possibility of recovery.

9.3. Kiges Bots reserves the right to delete data of inactive accounts after 12 (twelve) months from the last User activity.

10. Cookies and Analytics

10.1. Kiges Bots uses cookies to ensure the operation of authorization and remember User settings.

10.2. Kiges Bots may collect aggregated anonymous visit statistics for the service website to improve the service.

10.3. The User can disable cookies in their browser settings. This will not affect bot functionality, but may limit access to the management panel.

11. Additional Conditions

11.1. Kiges Bots reserves the right to make changes to this document. The User undertakes to independently monitor the current version.
